Microsoft Planner Finally Tackles Its Team Capacity Problem

Microsoft Planner is getting a new capacity view that will show who is working on what and how much workload each team member is carrying.

According to Microsoft 365 Roadmap entry RM569733, Microsoft is developing the feature to help teams understand available capacity without leaving Planner.

The new capacity view will give managers and team members a clearer picture of how work is distributed across a project.

Microsoft says the view will use a timeline showing who is working on what. This should make it easier to spot team members who have too many assignments, as well as people who still have room to take on additional work.

Capacity management has remained one of Planner’s more noticeable limitations. Microsoft Project offers more advanced resource and workload management tools, while Planner focuses on simpler task management.

As a result, Planner users who need detailed workload information have often had to move to Microsoft Project or rely on other workarounds.

The upcoming capacity view should close some of that gap while keeping workload management inside the existing Planner experience.

Microsoft targets October 2026 or later

Microsoft currently lists the feature for release after October 2026.

Once it arrives, teams should be able to monitor workload and capacity directly in Planner instead of switching between different Microsoft tools just to determine who has time available.

As always, Microsoft 365 Roadmap dates can change, so the company could move the release to a later date.

The capacity view also arrives as Microsoft continues expanding Planner across Microsoft 365. A Microsoft Planner redesign starts rolling out in September, while Outlook is getting Microsoft Planner integration.

Microsoft is making similar changes to its other collaboration products. Teams, for example, is getting a new security feature that can block external meeting bots automatically.
