Microsoft Brings Secure PDF Annotations to OneDrive and SharePoint
Microsoft is making it easier to work with protected PDF documents in OneDrive and SharePoint by introducing annotation support for files with sensitivity labels.
The upcoming feature will allow users to annotate protected PDFs directly in their web browsers without removing or weakening the security protections applied to those documents.
Protected PDFs will retain their security settings
Currently, working with sensitivity-label protected PDF files can present challenges when users need to add annotations while maintaining document security.
With the new update, users who have the appropriate permissions will be able to open and annotate these files directly through OneDrive and SharePoint on the web.
More importantly, Microsoft will preserve the document’s existing sensitivity labels, encryption, and usage rights when users save their changes. This means organizations can allow employees to review and annotate confidential documents without compromising the protections already in place.
The improvement could prove particularly useful for businesses that regularly handle sensitive information, including financial documents, legal agreements, and internal reports.
Microsoft plans to release the feature in January 2027
According to the Microsoft 365 Roadmap, the feature is currently in development, with the rollout scheduled to begin in January 2027. Microsoft lists it under Roadmap ID 576276.
The rollout will cover OneDrive and SharePoint on the web, including Worldwide, GCC, GCC High, and DoD environments.
The update is part of Microsoft’s continued efforts to improve document management and collaboration across Microsoft 365.
The company is also working on allowing Teams users to play OneDrive videos directly during events. Meanwhile, Microsoft is reducing OneDrive storage for Microsoft 365 Family and Premium plans from 6TB to 2TB.
Separately, Microsoft has announced Copilot performance improvements that make it four times faster while reducing token usage by 30%.
For organizations that rely on encrypted PDFs, the upcoming annotation feature should simplify document reviews while keeping existing security controls intact.
