Microsoft is preparing a major update for Exchange Online with the introduction of Priority Cleanup V2, a new feature under Microsoft Purview designed to streamline how IT administrators permanently delete mailbox content.

Priority Cleanup already allows organizations to remove mailbox data even when preservation holds are in place, but the current version has been criticized for slow performance and complex workflows. With V2, Microsoft aims to significantly improve speed, simplify processes, and reduce administrative overhead.

Priority Cleanup V2 to bring faster deletions and simpler workflows

One of the biggest changes in Priority Cleanup V2 is performance. The current version can take more than six days to process even small mailboxes, while the updated version aims to reduce that to hours or even instant execution in some cases, particularly when no holds are involved.

Microsoft also plans to simplify the approval process. The workflow will drop from three steps to two, while the number of required administrators will be reduced from four to two. This change should make it easier for organizations to execute cleanup tasks without unnecessary delays.

Another key improvement is conditional review. eDiscovery approval will only be required for mailboxes that are under hold, removing extra steps for standard deletion scenarios.

New tools for large-scale cleanup and auditing

Priority Cleanup V2 introduces several new features aimed at enterprise environments managing large volumes of data. IT admins will be able to perform batch deletions, making it easier to handle large-scale mailbox cleanup operations.

Policy management will also become more straightforward, with improvements designed to reduce complexity and increase usability. The review interface will include enhanced metadata, giving administrators more context before approving deletion actions.

Microsoft is also adding a Cleanup ID system, which creates a complete audit trail for every deletion. This improves transparency and helps organizations meet compliance requirements.

Microsoft seeks feedback ahead of rollout

The feature remains in the planning stage, and Microsoft is actively collecting feedback from customers through support channels and customer success teams. The company is focusing on refining performance, usability, and compliance features before release.

Priority Cleanup V2 is expected to roll out later this year, although Microsoft has not provided a specific timeline.

The planned update comes shortly after a recent Exchange Online outage, which Microsoft has since resolved. At the same time, the company continues to evolve its broader Microsoft 365 ecosystem.

SharePoint recently introduced an AI-powered template gallery to replace blank pages, while security concerns remain in focus. The Cybersecurity and Infrastructure Security Agency (CISA) has warned that a critical SharePoint vulnerability is actively being exploited, urging organizations to apply updates as soon as possible.

With Priority Cleanup V2, Microsoft appears to be doubling down on administrative efficiency and compliance, while continuing to modernize its enterprise services.
